A good video can still waste a brand's time when the delivery package is confusing. If the final version, caption file or usage period is unclear, another round of messages becomes necessary. Organised handover is a visible part of your creator service.

Translate the approved scope into a delivery list
Name the outputs and variants before filming. Does “three videos” mean three original recordings or three openings from the same shoot? The folder should make that distinction clear. Adding dozens of unrequested files is not a substitute for organisation.
Use a simple folder structure
| Folder | Contents |
|---|---|
| Final | Approved finished videos in agreed formats |
| Captions | Agreed subtitle files |
| Clean | Text-free versions when contracted |
| Notes | Version, usage and known limitations |
A filename can contain product, language, aspect ratio and version. It should not contain personal phone numbers or client secrets. Use consistent version numbers instead of “final_final2”. Silently replacing an old file creates uncertainty about which version the brand downloaded.
Keep the package proportionate to the assignment. A single video does not need an elaborate archive, but it still needs an identifiable final file and the accompanying material promised in the agreement.
Perform your own final check
Open the exported file from the delivery folder and watch it from beginning to end. Check audio channels, caption spelling, opening and closing frames and accidental editing markers. Test recipient access, expiry and download permissions. If a password is needed, share it through a separate appropriate channel. Do not place private source material in a public folder.
Write a brief handover note
Explain what is ready, what still needs approval and the next step in three clear paragraphs. Do not rewrite the usage agreement through an informal summary; refer to the agreed terms. Discuss retention time and later source-file requests before they become an urgent surprise.
You can demonstrate this process in your portfolio with an anonymised diagram. Never expose a real client's files or access link. The value is not the number of folders but fast, reliable access to the correct asset.
Frequently Asked Questions
Must I deliver raw footage every time?
Only when agreed. Raw footage, project files and finished outputs are different deliverables.
How long should the link remain available?
Agree on the period and confirm the client has downloaded the files before access expires.
